What is ORCID?
An Open Researcher and Contributor ID (ORCID) is a persistent digital identifier that distinguishes you as an individual from every other researcher.
Through integration in key research workflows, such as manuscript and grant submission, ORCID supports automated linkages between you, your funding and your research outputs.
The UK Data Service supports the use of persistent identifiers across its work, so that data, metadata and other outputs, can be reliably referenced and linked. This helps to assure credit is given to the creators of such outputs and enables links to be made across your research portfolio.
We are part of a project with the British Library to promote the uptake of ORCIDs across academia and beyond. A unique ORCID is free and available to all, via a simple registration process on the ORCID website.
What are the benefits of depositing data?
Data archiving has great benefits for data owners, data users and researchers. We ensure the long-term safe-keeping of data and maintain control on your behalf. We can inform you of applications for use, plus we maintain registers of users and usage. The ability to demonstrate continued usage of the data after the original research is completed can influence funders to provide further research funding.
The use of your data by other researchers may lead to collaborations with you and to co-authorship of publications based on reuse of the data. Depositing data allows you to avoid the administrative tasks associated with external users and their queries. At the same time, we can foster a fruitful dialogue between you and secondary researchers by running user groups and data-use workshops while shielding you from the more tedious aspects of dissemination.
It is also an essential part of the scholarly research process to be able to identify information sources. Bibliographic control of books, papers, journals and other printed sources is taken for granted. They are identifiable in library and publishers’ catalogues. They are also fully referenced when used as source material in scholarly publications. The depositing of data enables datasets to be as fully identifiable and easy to find as printed materials by ensuring that:
- Datasets are fully documented with all bibliographical details (title, date, author).
- Datasets are fully catalogued in a data catalogue.
- Datasets are assigned a Digital Object Identifier, a globally unique string of letters and numbers that identifies the exact data cited.
- Users of the data are aware of the need to acknowledge the data sources in publications, through proper citation.
Scientific excellence is measured through publications. Why should I archive research data rather than publish results?
The archiving of research data by no means replaces scientific publications. Archiving data resulting from a research project provides an additional output besides many other research outputs. Archived data can complement publications and provide the baseline data used for publications. Some datasets can be significant in their own right and may qualify as part of a researcher’s research portfolio.
Will my data be in the public domain?
Who is likely to use my data?
Most potential users will be within the higher education and further education research communities, though data may also be used by researchers from other sectors, such as central and local government. Data are also frequently used for teaching purposes to study research methodologies and how researchers approach studying certain topics. Will you accept my data?
All new or regular collections are reviewed by our Data Appraisal Group, according to our Collections Development Policy, to determine whether they are suitable for inclusion in our collection. If you are an ESRC grant holder, you can deposit your data directly into our ReShare repository. See how to deposit data in the curated data repository.
Will data be peer-reviewed as a quality assurance?
Your data can be peer reviewed if they are linked to a data paper that you submit into a data journal, such as Scientific Data or Research Data Journal. For other datasets we will carry out certain quality reviews of data during processing, to ensure that variables and values are accurate according to the documentation supplied. We will also make sure they are well labelled; to check for missing or erroneous values; to check that confidentiality is not breached; etc.
How do I deposit data linked to a data paper in a journal?
Follow our standard procedures to self-deposit data in ReShare. In addition:
- Indicate that your dataset is linked to a peer-reviewed data paper in the ‘Notes on access’ field, including the journal name.
- Once you have deposited your dataset for review, we will send you a data citation with a unique identifier (DOI) to include in your data paper, or data descriptor.
- We will liaise with the data journal to facilitate peer review.

How do I submit my data paper to the Research Data Journal for the Humanities and Social Sciences (RDJ)?
The RDJ is published by an open access peer reviewed e-only journal that documents deposited datasets through the publication of data papers. It is run by Brill publishers and the Netherlands Data Service (DANS).
The data journal concentrates on the Social Sciences and the Humanities, covering history, archaeology, language and literature in particular. Publication languages are English and Dutch.
What is a data paper?
Data papers are scholarly publications of medium length, containing a non-technical description of a dataset. They put the data in a research context and offer a behind the scenes glimpse at how the data were gathered and constructed.
Rather than focus on research conclusions they do provide space for concluding remarks on key findings and also what potential the data might offer future users.
What about the data?
Data needs to be FAIR and deposited in a certified trusted repository, with a DOI, such as in the UK Data Service or DANS.
How to submit
Researchers can submit their data paper in the Research Data Journal via the website: brill.com/RDJ. Each submission will be peer reviewed – both the paper and the underlying dataset – to assess suitability for publishing.
Authors are requested to create infographics and images that bring the data to life. Once published the data paper itself gets a persistent identifier providing publication credit to the author.

Do you have information on the purpose of archiving so I can explain it to research participants?
What kind of research data cannot be shared?
Personal or sensitive data may not be suitable for sharing with other researchers, depending on the informed consent that has been obtained from participants.
Data that include multiple copyright layers or rights owners cannot be shared unless permission for data sharing has been given by all copyright/rights holders. Depositors must ensure all rights have been cleared and provide information to confirm that any legal and ethical issues have been resolved. This enables us to legitimately preserve and make the data available for analysis.
If there is any doubt about rights ownership, please consult your institutional legal team and refer to our information on copyright.
Should we keep a copy of our data after you have archived them?
Once we have archived the data, you can access those data at all times. We will safeguard and preserve the data in the long term, so they remain accessible. You may keep a copy of your data at your own discretion.
I am applying for an ESRC grant and have to complete questions about preparing and archiving my research data. Can you help?

My research was carried out abroad and my data are not in English. Can you archive them?
We do not exclusively archive English language data but we would need sufficient information to be able to review your data against the criteria in our Collections Development Policy, to determine if they are suitable for inclusion in our collection. However, we cannot guarantee we can verify and quality control these data to the same standards as English language data. The accompanying documentation would make this clear to users. The data should be accompanied by an English summary and English documentation and metadata explaining the material.
Data I collected are summary notes of focus group discussions. Are these worth archiving?
We are less likely to accept summary data because of their more limited reuse potential. However, if you are funded by the ESRC then you should upload them to the ReShare data repository.
My data are audio-visual recordings of interviews and focus groups and a collection of artefacts. Can you archive them?
We judge each data offer on a case-by-case basis. Whilst it is preferable for research purposes that interviews and focus group discussions are transcribed (as it makes reuse of such data much easier), at times audio-visual materials are archived too. We can offer advice on digitising paper-based artefacts, such as photos, postcards, and family trees. If the data are ESRC-funded you can use the ReShare repository. Otherwise, we will assess your data against our Collections Development Policy criteria.
For my research I collected twitter data; can these be deposited with the UK Data Service as evidence for my research and for future re-use?
Yes, you can deposit tweetIDs and timestamps (but not the textual tweet content or further details about the person sending the tweet) into our ReShare repository. Detailed information is available in the Preserving Social Media report.
How do I prepare my data for sharing?
Data should be prepared so that they can be easily understood and used by other researchers. Data should be clearly labelled and documented; research procedures, fieldwork methods and the context of the research should be explained and all variables, codes and fields should be self-explanatory. Documentation may include user guides, questionnaires, technical reports, publications, working papers and lab books. See Prepare your data for deposit.
Attention may need to be given to the possible confidentiality of data. Informed consent may need to be obtained for data to be shared with the wider research community and data may need to be anonymised.
Are there guidelines on creating, preparing and managing my research data for sharing?

Can you tell me more about your self-deposit repository, ReShare?
The focus of ReShare is the storage and sharing of primary research data from ESRC grant holders and other research projects. All forms of digital data can be deposited in and accessed via ReShare, including statistical data, databases, word documents and audio-visual materials. Contributors are required to register with the UK Data service in order to contribute and upload materials.
ReShare uses a state-of-the-art open-source repository system based on EPrints software. We check all uploaded data to ensure they are virus-free, readable and usable, and free from rights and disclosure problems.
How do I sign the deposit licence for data deposited in the curated repository?
Once your offer has been appraised and accepted for the curated repository, you will receive an email to contact the Collections Development team with the access level required for your data. The Collections Development team will set the access conditions as discussed and you will be able to sign the licence via your account.
Why does the Depositor Licence ask for the Data Controller and Data Protection Officer (DPO) details?
In data collections that contain personal data, we require the depositor to provide the contact details of the Data Controller, and where applicable. the DPO. If you are a public authority or body, or if you carry out certain types of processing activities, the GDPR requires that a DPO is appointed. The Data Controller and/or DPO will act as a contact point for data subjects and for the UK Data Service, where issues of data protection compliance necessitate contacting the Data Controller, or where Privacy Impact Assessments require clarification.
What are my responsibilities under the Licence Agreement?
The Licence Agreement asks the Depositor to guarantee that nothing in the data collection is illegal and that the data collection does not breach privacy or data protection laws. It also asks for assurances that you are entitled to place the data collection in the Archive and that the agreement of all parties who may have an interest in the data collection has been obtained. The Depositor should ensure that anyone with copyright interest has been included in the Licence Agreement.
What are your responsibilities under the Licence Agreement?
- We will ensure that access to the dataset is governed by the access conditions specified in the Licence Agreement.
- Users accessing open data will not be required to register but will be subject to the terms of the open licence specified by the depositor.
- Users requesting access to safeguarded or controlled data will be asked to agree to an End User Licence.
- In the End User Licence users agree:
- Not to attempt to identify any individuals, households or organisations in the data.
- Not to breach copyright by selling all or part of the data collection, or including it in a product that is subsequently sold.
- To acknowledge the Depositor when publishing anything based upon an analysis of the original data.
- To say that the Depositor is not responsible for the quality of the work they have produced.
Who should sign the Licence Agreement?
The Licence Agreement should be signed by the owner of the data collection, or in the case of institutions or organisations, it should be signed by a person authorised by that institution or organisation to sign such agreements. The agreement makes sure that you retain ownership in the data collection and can continue to use it in any way you choose.
Who will be allowed to use my data collection?
Most data owners allow their data to be used for non-commercial educational purposes by any registered user. In some cases, data owners allow their data collection to be used by anyone without restriction (in these cases, the right to be asserted as owner of the data collection remains, as do all moral rights). Some data owners may require additional restrictions on access if the data content is of a sensitive or confidential nature. In these cases, please review the Licence Agreement and contact the Collections Development team to discuss alternative access conditions.
Will I be held accountable for any errors or mistakes in the data collection or for any subsequent analysis of the data?
No, the Licence Agreement does not require you to guarantee accuracy in the data, nor take any responsibility for any subsequent analysis of the data collection.
Does the Licence prevent me from publishing or distributing my data collection in a different way?
No, you remain free to enter into other agreements for distribution, or to develop distribution mechanisms yourself. However, deposit with the UK Data Archive relieves you of the administrative and technical burdens associated with distribution.
Can I find out who is using my data collection?
Yes, anonymised usage reports are available. For data deposited via our self-repository ReShare please see the Metrics page. For data deposited in the curated repository please contact our Collections Development team. For open datasets that do not require registration, we can provide basic information on the number of downloads.
